How much does an office move in Valencia cost?

The price works like any hourly move: van €50/h × hours + €20/h × movers × hours, with a two-hour minimum for the van. What is different about an office is the load: lots of heavy archive boxes, chairs, desks that need dismantling and equipment that cannot travel loose.

Timeline: from 8 weeks out to your first week

An office does not move in a day; it moves over two months with one transport day in the middle. This is the schedule that works best:

The single biggest cause of delay is internet: transferring a business line can take anything from a few days to several weeks, depending on the provider and the building. Order it first.

Computers and servers

Computers are the one thing in the office you cannot replace with a trip to the shop, because the work lives inside them. The basics:

  • A full backup the day before, stored off-site or in the cloud. If you have a local server, make it a verified backup, not just a scheduled one.
  • Disconnect and label cables before moving day, not during it. A photo of the back of each workstation and a bag of its cables marked with the desk number will save you a Monday morning.
  • Monitors and equipment in their original boxes, or wrapped in blankets and bubble wrap, always upright. Nothing stacked on top of screens.
  • Servers and racks should be shut down and disconnected by your IT technician. The carrier moves them packed and secured, but configuration and restart are your team’s job.
  • Drives and confidential documents travel with you or in sealed, taped boxes, never in bags.

Zone labelling: so everyone finds their desk on Monday

Unloading is where office moves lose time: identical boxes all end up in the room nearest the door. The fix is a simple zone system:

  1. Split the new office into zones by colour or letter: A reception, B management, C team, D archive, E kitchen.
  2. Number each desk within its zone (C-01, C-02…) and put the floor plan on the entrance door of the new office.
  3. Label every box and every piece of furniture with zone and desk, large, on two sides. Contents in three words.
  4. Put the same label on the door or floor of each zone at the destination, so the movers can unload without asking.
  5. One person from your team at the destination with the plan in hand, to answer questions on the spot.

Moving day: Friday afternoon or the weekend

Moving at the weekend lets you close at Friday lunchtime and open as normal on Monday. To make it go smoothly:

  • Book access at both buildings: loading hours, service lift, concierge or building administrator (administrador de fincas). Many office buildings only allow moves in set time slots.
  • Parking for the van: on streets with little loading space, check with the City Council (Ayuntamiento) whether you need to reserve kerb space; conditions vary by area.
  • Load by zone, in reverse order: whatever is assembled first at the destination (desks and shelving) goes into the van last.
  • Same-day assembly: if there are desks, shelving or cabinets to take apart, book furniture assembly and dismantling together with the move so everything is standing by Monday.

Furniture that is not coming to the new office does not have to go to the bin or take up space in the van: it can be collected beforehand through furniture removal. Telling clients and changing your address

Moving office affects everything with your address printed on it. The minimum list for the first week:

  • Clients and suppliers: an email with the new address and date two or three weeks ahead, plus a reminder on the day.
  • Tax Agency (Agencia Tributaria): if your tax address (domicilio fiscal) changes as a self-employed person or company, you notify it with form 036 within one month of the change. Form 037 was abolished in February 2025, so only the 036 is used now. Check the Tax Agency’s website or ask your gestoría.
  • Social Security: update the company’s or self-employed person’s address with the Tesorería General; your gestoría usually handles this.
  • Registered office (domicilio social): if a company’s address in its articles of association changes, the change must be formalised and registered with the Registro Mercantil. Your gestoría or notary can give you the exact steps.
  • City Council: the new premises need their own authorisation to operate (a licence or declaración responsable, depending on the case). Check this before signing the lease.
  • Everything else: banks, insurers, invoice templates, website, Google Business Profile, email signatures and the sign on the door.
